Simplifying Volunteer Scheduling and Tracking

Simplifying Volunteer Scheduling and Tracking through Salesforce

Peninsula Volunteers, Inc (PVI) is an organization in Menlo Park, California with a simple but important mission: to enable seniors to age in place. This nonprofit has an interesting history. Decades, ago, a group of women recognized the complex needs of their aging community members, long before this was an identified need in every community. They decided to create programs to provide educational and social opportunities to help seniors maintain vibrant human connections.

Now approaching its 75th anniversary, PVI continues to serve seniors through four core programs: Nutrition Services/Meals on Wheels; Adult Day Services at Rosener House; Health, Wellness and Lifetime Enrichments offerings at Little House; and on-demand Transportation Services at Little House, the Roslyn G. Morris Activity Center.

As PVI’s programs continue to grow they needed a way to log, track, and quantify the time commitment of their volunteers.

PVI needed a system to help track their volunteer hours and shifts.

Dedicated volunteers comprise their PV membership, all of whom are women. Community volunteers also support PVI’s programs. As they state on their website, volunteers are the heart of their organization.

There are many ways for volunteers to get involved with their organization, including delivering meals to seniors and teaching technology classes. Because of their need to track volunteers’ shifts and hours, Salesforce’s Volunteers for Salesforce was a great option for PVI.

Volunteer Website allows simple tracking and scheduling.

PVI’s Volunteer Site page allows their many volunteers to view any upcoming jobs and to sign up for new volunteer opportunities. They can view their hours over time and update their availability, skills, and contact information.

From an administrative standpoint, PVI can easily track their volunteers and schedule people. This is particularly helpful for Meals on Wheels tracking. Administrators can view various shifts, both drivers and packers, and find last minute volunteers when necessary.

Strong communication facilitates powerful partnerships.

Provisio was thrilled to partner with Peninsula Volunteers and help them reach their technology goals. Ann Eisenberg, Volunteer Manager at PVI, commented, “Provisio is a very friendly, communicative team who had our best interest at heart. I felt as if they understood the Non-Profit world and were sympathetic to our struggles.”

Thanks to their use of Salesforce, many of PVI’s processes are now streamlined, and they have been able to move away from manually tracking on spreadsheets. This allows their staff to spend more time focusing on their programs and community.
